How should you compare three-year GRC total cost of ownership?

CONTROLSPAN RESEARCH DESKSECTION 10 · PAGE 8 OF 17Last updated 28 October 2026

Use the following desk-proposed quote normalisation model, in USD. It is a calculation structure, not a market price benchmark.

Cost block Inputs to request Question that must be answered
Subscription Modules, user categories, entities and minimum commitments Which contributor and administrator activities require paid entitlement?
AI and usage Included units, measurement period, overages and caps What event changes consumption, and can the buyer inspect it?
Implementation Configuration, workshops, training and acceptance Which deliverables are included, and when do unused services expire?
Migration Extraction, cleansing, history, attachments and reconciliation Who performs each step and signs off completeness?
Integrations Build, environments, monitoring and maintenance Who fixes a failed synchronisation after go-live?
Internal operations Administration, access reviews, content ownership and user support How many buyer-estimated hours are funded?
Transition Legacy overlap, archive access and replacement dependencies What must remain available during cutover?

Proposed formula: three-year cash expenditure plus separately identified internal labour. Show optional exit costs in a separate scenario unless an exit is planned within the modelled period. Leave unresolved costs visibly unknown rather than entering zero.
